Privacy Policy
Last updated: 17 October 2026
This policy explains what personal data AgentNow ("we", "us") handles when you use AgentNow, why, who sees it and what your choices are. It applies to our website, dashboard, chat portal and chat widget.
1. Two roles
- For account holders (Customers and their Members: sign-up, billing, using the dashboard) we are the “controller” - we decide why and how the data is used.
- For Visitors who chat with a Customer's agent, the Customer is the controller and we are the “processor”: we process the data only to run the Service for the Customer. If you are a Visitor, the business whose portal or website you used is the one to ask first about your data; you can also write to us and we will pass your request on.
2. What we collect
- Account data: name, email address, password (kept only as a one-way hash), profile picture if you add one, and the basic profile Google sends when you choose “Continue with Google”.
- Workspace content: agents and their instructions, documents, web pages and files a Customer adds to its knowledge base, and the text we extract from them.
- Chats: the messages between a Visitor, the AI agent and the Customer's team; files a Visitor attaches; the name and email a Visitor gives when joining a portal, and a password if they choose to set one; the website the chat came from; times and status of the chat.
- Usage and billing: how much AI is used, the plan, invoices and payments. Card details are handled by Stripe; we do not see or store them.
- Technical data: IP address, browser and device type, and security and error logs.
- Usage statistics: counts such as pages visited, chats started and the website the widget runs on, with basic device and browser details (see section 6).
- Messages to us: emails, quote requests and chats with our own support agent.
3. Why we use it
- To provide the Service: create accounts, answer Visitors, show chats to the Customer's team, send notifications and emails (for example sign-in, password reset, invitations).
- To bill and to prevent fraud and abuse (including a human check on the “Try it Free” form).
- To keep the Service secure, fix problems and improve it, using usage statistics.
- To follow the law and defend our rights.
Where the law asks for a legal basis we rely on: performing our contract with you, our legitimate interest in running and securing the Service, your consent where the law asks for it, and legal obligations.
4. AI processing
To write an answer, the text of the chat and the relevant parts of the Customer's knowledge base are sent to our AI provider via its API. We do not use your content to train our own models. The provider processes it under its own API terms. Please do not put sensitive personal data (for example health or payment card details) into chats or the knowledge base unless you need to and the law allows it.
5. Who we share data with
We do not sell personal data. We use these service providers (“sub-processors”), only as needed to run the Service:
- Google - AI services that help write the answers, Google sign-in, Gmail for sending our emails (sign-in, password reset, notifications), and Google Analytics on our website.
- Stripe - Payments and subscriptions.
- Cloudflare - Network protection and speed, and the human check on forms.
We may also share data if the law or a court requires it, to protect people's safety or our rights, or in a sale or merger of our business (we would tell you). A Customer's team members see the chats of that Customer's workspace.
6. Analytics
- Our website and app: we use Google Analytics on our website, dashboard, chat portal and chat window to understand how they are used. It uses cookies and collects usage data such as the pages visited, device and browser type and an approximate location. It is used without advertising features, and we do not send chat text, names or email addresses to it. You can block these cookies in your browser settings.
- The chat widget: when the widget runs on a Customer's website, its chat window is one of our pages, so the same analytics apply to the chat window. We also see which website the widget runs on and how many chats start.
Details of what is stored in your browser are in our Cookie Policy.
7. Where data is kept and moved
The providers above may process data in other countries, including the United States. Where required we rely on the safeguards those providers offer (for example standard contractual clauses).
8. How long we keep it
- Account and workspace data: while the account is active.
- Chats and files: until the Customer deletes them or deletes the workspace. A Visitor can remove a chat from their own history; the Customer may still keep its copy.
- After deletion the data is removed from our systems and from backups within 30 days.
- Billing records: as long as tax and accounting law requires.
- Security logs: a short period, then deleted.
9. Security
We use encrypted connections (HTTPS), store passwords only as hashes, limit who can access production systems and keep access to a workspace to its members. No system is perfectly secure, so please use a strong password and tell us at once if you think your account was misused.
10. Your rights
Depending on where you live (for example under the Thai Personal Data Protection Act or the EU GDPR) you may have the right to see your data, correct it, delete it, receive a copy, object to or limit some uses, withdraw consent, and complain to your data protection authority. To use these rights write to us: . We may need to check who you are first. A Visitor's request about chat content will usually be answered together with the business that runs the chat.
11. For Customers: your duties as controller
If you install the portal or the widget you decide what Visitors are asked for and why. You are responsible for telling your Visitors about the use of AgentNow and of AI, and for having a legal basis for the data you collect. You can ask us for a data processing agreement and the list of sub-processors at .
12. Children
The Service is not for children under 16 and we do not knowingly collect their data. Customers must not direct their portals or widgets at children without the legal permissions this needs.
13. Changes
We may update this policy. The new version will be posted here with a new date, and for important changes we will tell account owners.
